(UP TO A NINE (9) MONTH ASSIGNMENT)

The Legal Services Unit is a fast-paced work environment and as such the Administrative Assistant - Real Estate must be extremely organized, able to deal with competing priorities and have excellent communication and time management skills. Your key responsibilities will be to provide assistance and support to the Legal Services Unit and particularly to the lawyers dealing with real estate and development matters, under the supervision of the General Counsel with an emphasis on real estate, development and portfolio management matters. You will handle highly confidential and sensitive information concerning real estate and legal matters. You will also need to be a self starter and will be required to work with a high degree of independence, utilizing tact and good judgement.

Responsibilities:

 

• Conducts title and encumbrance searches

• Drafts commercial leases based on TCHC precedents, using signed Offers to Lease

• Manages a review of portfolio titles

• Schedules meetings and prepares a variety of correspondence including memos, letters, and reports

• Maintains a schedule of real estate matters and deadlines

• Prepares and updates files for real estate matters

• Arranges for the filing of real estate documents and claims for liens

• Processes payments and invoices

• Responds to a variety of verbal and written inquiries from internal and external stakeholders including: TCHC staff, lawyers, court staff, external organizations and the general public

• Liaises with TCHC staff, governmental bodies and external organizations on matters pertaining to real estate

• Provides and/or processes personnel related issues, purchasing, accounting and other support services related to the business of the Legal Services Unit

Qualifications:

• Minimum of 3 years progressive administrative experience

• Experience with and/or familiarity with Teraview and the processes of the Land Registry Office

• Experience with commercial leasing drafting and administration

• Post-secondary degree or diploma in a relevant field of study (real estate, paralegal, law clerk, legal assistant, legal secretary, law enforcement or related programs) is an asset

• Demonstrated knowledge of office procedures and manual/electronic filing systems

• Superior time management skills and an ability to multi-task and deal effectively with competing demands

• Excellent oral and written communication skills

• Excellent customer service skills to respond to enquiries from a variety of internal and external stakeholders and from people of diverse language and cultural backgrounds

• Proficiency with computerized business applications including word processing, spreadsheet, presentation, and information databases to prepare correspondence, legal documents and generate reports

• Ability to work independently with minimum supervision, and also as a member of a team

• Working knowledge of TCHC policies and procedures and relevant legislation that is applicable to TCHC including the Social Housing Reform Act (SHRA)

• Experience in conveyance would be an asset
